Refund & Cancellation Policy

This Refund & Cancellation Policy outlines the terms under which The Media, a web development and digital services agency based in Bengaluru, Karnataka, India, handles project cancellations, refund requests, and disputes. Please read this policy carefully before engaging our services. By making a payment to The Media, you acknowledge and agree to this policy.

As a service-based agency delivering custom digital work, our refund policy reflects the time, skill, and resources invested in each project from the moment work commences.

1. General Principle

All services provided by The Media are custom in nature — web development, UI/UX design, SEO, and related digital services are tailored specifically to each client's requirements. Because of this, refunds are not available for work that has already been completed or delivered, regardless of the reason for cancellation.

2. Advance / Retainer Payments

Most projects require an advance or retainer payment before work begins. This payment secures your project slot, covers initial planning and discovery work, and compensates for opportunity cost. The following terms apply:

  • Cancellation before work commences: If you cancel a project in writing before any work has started, you may be eligible for a refund of the advance minus a 10% administrative fee to cover processing and reservation costs.
  • Cancellation after work commences: If work has already begun, the advance is non-refundable. You will be invoiced for any additional work completed beyond the value of the advance.
  • Cancellation mid-project: All fees for work completed up to the date of cancellation are due and payable. If the completed work value exceeds the advance paid, you will receive an invoice for the balance.

3. Project-Specific Milestones

For projects structured with milestone-based payments:

  • Each milestone payment corresponds to a defined phase of work. Once a milestone is paid and work on that phase has commenced, that payment is non-refundable.
  • If you choose to cancel after a milestone is complete and approved, you retain the deliverables from that milestone and all prior milestones. No refund will be issued for those payments.
  • Payments made for milestones not yet commenced at the time of cancellation may be refunded at The Media's discretion, subject to a deduction for any preparatory work already undertaken.

4. Monthly Retainer Services

For ongoing monthly services (such as SEO, maintenance, or content services):

  • Monthly retainers are billed in advance and are non-refundable once the billing period has commenced.
  • You may cancel a monthly retainer with 30 days' written notice before the next billing cycle.
  • Cancellations mid-cycle will not result in a prorated refund for the remaining days in that cycle.

5. Refund Eligibility — Exceptions

A full or partial refund may be considered in the following limited circumstances:

  • The Media is unable to commence or complete the project due to reasons entirely within our control, and no alternative arrangement can be agreed upon
  • A duplicate payment has been made due to a technical error
  • A payment was made in error and work has not yet commenced

Refund requests in any of the above cases must be raised within 7 days of the payment date by writing to info@themedia.in.

6. Approved Refund Process

Where a refund is approved:

  • Refunds will be processed within 7–10 business days from the date of approval
  • Refunds will be issued via the same payment method used for the original transaction (bank transfer, UPI, etc.)
  • Any payment gateway or transaction charges incurred on the original payment may be deducted from the refund amount

7. Disputes

If you are dissatisfied with any aspect of our work, we encourage you to raise the issue promptly so we can work to resolve it. Most concerns can be addressed through revision rounds included in your project scope. If you believe a refund is warranted, please contact us at info@themedia.in with a detailed explanation. We will review your case and respond within 5 business days.

Chargebacks initiated without first contacting us will be contested. Unresolved disputes are subject to the governing law and jurisdiction specified in our Terms of Service.

8. Changes to This Policy

The Media reserves the right to amend this policy at any time. Any changes will be posted on this page with an updated effective date. For projects already in progress, the policy in effect at the time of your payment will apply.
